Editing Messages Using a Word Processor

Procedure

To edit correspondence messages using your default word processing application:

  1. Access the Correspondence Queue by selecting one of the following:

    • Select the customer. How?

    • Select the credit request. How?

  2. Do one of the following:

    • If you selected a customer, on the Customer Information tab, select Correspondence.

    • If you selected a credit request, select the Correspondence tab.

The Correspondence Queue displays the correspondence that has already been generated.

  1. To search for the correspondence you want to edit, enter information in the Search for Correspondence Messages section, and click Search.
    The List of Correspondence Messages section displays the messages that match the information you enter.

  2. Click view/edit in the row for the correspondence message you want to edit.
    The Notification Message Details screen appears.

  1. Select the Delivery Method for the message as either Print, Fax or E-Mail.

Note:  The Print Delivery method is available only if your implementation has been set up for FTP transfer of print correspondence messages.

  1. To automatically enter e-mail addresses or fax numbers that are saved on the Contacts screen for the customer:

    1. Click Use Contacts.
      By default, a list of external contacts assigned to the customer and their e-mail addresses as  entered in eCredit appears.

    2. To view a list of internal contacts, select the Internal Contacts check box at the top of the screen. The screen refreshes to display internal contacts assigned to the customer and their e-mail addresses as entered in eCredit.

    3. Optionally, enter search criteria and click Search (or, simply click Search with no search criteria) in the Other Internal Contacts section to display information for additional internal contacts who have not been assigned to the customer. The results appear in the Search Results section.

Note:  If you select Email as the delivery method, e-mail addresses appear. If you select Fax as the delivery method, fax numbers appear.

    1. Select the check boxes for the contacts to whom you want to send the message. For e-mail, you can check to enter the address on the To, Cc, or Bcc lines.

    2. Click OK.
      The email addresses or fax numbers fill in on the Notification Message Details screen.

Note: If an e-mail address or fax number is not available through Contacts, you can type it in. For fax numbers use the format ContactFaxnumber@efaxsend.com.

  1. When all mandatory fields are entered, click Export Message.
    A dialog appears asking if you want to open the file or save it to your hard drive.

  1. Click Save to download the file to your hard drive, or open it in your default word processing application.
    By default, the file downloads to your Desktop, and opens in Microsoft Word.

  2. When the download is complete, click Open.
    The file opens in your default text editor, or word processing application.

  3. Edit the message, and save your changes.

  4. Exit the text editing program.
    The Notification Message Details screen appears.

  5. Click the Browse button next to the Attach File field at the bottom of the screen.
    A dialog appears asking you to select the file to attach to the e-mail.

  6. Select the file that contains the edited message, and click Open.
    The path for the selected file appears in the Attach File field. The modified file is attached to the message.

  7. You can send the message now by clicking the Send Message. Or you can send the message later. How?
