Sending Generated Correspondence

Procedure

The Correspondence Queue includes correspondence that has been generated but not sent, and correspondence that has been generated and sent. You can send or resend any correspondence in the Correspondence Queue.

If your implementation is set up for FTP transfer of print messages, when you send messages with a print delivery method, they are sent to your FTP server for batch processing.

To send generated correspondence:

  1. Do one of the following:

    • Select the customer. How?

    • Select the credit request. How?

  2. Do one of the following:

    • If you selected a customer, from the Customer Information tab, select Correspondence.

    • If you selected a credit request, select the Correspondence tab.

The Correspondence Queue displays all generated correspondence.

  1. To search for the correspondence you want to send, enter information in the Search for Correspondence Messages section, and click Search.
    The List of Correspondence Messages section displays the messages that match the information you enter.

  2. Select view/edit in the row for the correspondence you want to send. You can select correspondence that has already been sent, or correspondence that has been generated but not yet sent.
    The Notification Message Details screen appears.

  3. Review the message in the message box, and enter information in all mandatory fields.

After reviewing the message, if you decide to refresh the message with the latest information stored in eCredit, you must generate a new message. How?

  1. For fax or e-mail messages, to automatically enter e-mail or fax addresses that are saved on the Contacts screen for the customer:

    1. Click Use Contacts.
      By default, a list of external contacts assigned to the customer and their e-mail addresses as  entered in eCredit appears.

    2. To view a list of internal contacts, select the Internal Contacts check box at the top of the screen. The screen refreshes to display internal contacts assigned to the customer and their e-mail addresses as entered in eCredit.

    3. Optionally, enter search criteria and click Search (or, simply click Search with no search criteria) in the Other Internal Contacts section to display information for additional internal contacts who have not been assigned to the customer. The results appear in the Search Results section.

If you select Email as the delivery method, e-mail addresses appear. If you select Fax as the delivery method, fax numbers appear.

    1. Select the check boxes for the external or internal contacts to whom you want to send the e-mail. You can check to enter the address on the To, Cc or Bcc lines.

    2. Click Select.
      The e-mail or fax address fills in on the To: line on the Notification Message Details screen.

If an e-mail or fax address is not available through Contacts, you can type in the address. The fax address should be entered using the format ContactFaxnumber@efaxsend.com

  1. Click Send Message.
    Fax and e-mail messages are sent and saved to the Correspondence Queue.

If your implementation is set up for FTP transfer, Print messages are sent to your FTP server for batch processing.
