Generating Correspondence for Customers

Procedure

To generate correspondence for customers:

  1. Select the customer. How?

  1. From the Customer Information tab, select Correspondence. The Correspondence Queue displays the correspondence that has already been generated.

  1. From the Template list, select the name of the template you want to use to generate the message. The Template list contains all templates defined for customers. When you select a template, the Generate Message button activates, and the screen refreshes to display the events for only the template you select.

  2. Click Generate Message.
    The Notification Message Details screen appears.

  3. Select the Delivery Method for the message as either E-Mail or Fax.

  4. To automatically enter e-mail addresses that are saved on the Contacts screen for the customer:

    1. Click Use Contacts.
      A list of business contacts and their e-mail addresses entered in eCredit appears. To view internal contacts, select the Internal Contacts check box. The screen refreshes to display internal contacts entered for the customer.

Note:  If you select Email as the delivery method, e-mail addresses appear. If you select Fax as the delivery method, fax numbers appear.

    1. Select the check boxes for the contacts to whom you want to send the email. You can check to enter the address on the To, Cc or Bcc lines.

    2. Click OK.
      The email addresses fill in on the Notification Message Details screen.

Note: If an e-mail address is not available through Contacts, you can type in the e-mail address.

  1. Select to send the message as either HTML or Text by making a selection from the Output Format list. The message box displays the message in the output format you select.

  2. Review the message in the message box, and, if necessary, change the Subject line for the e-mail.

  1. Do one of the following:

    1. Edit the message if it has not already been sent. How?

    2. To save the message without sending it, click Save Message. The message is saved to the Correspondence Queue.

    3. To send the correspondence, click Send Message. The message is sent, and saved to the Correspondence Queue.
