Workgroup Setup

Overview

Using the Workgroup Setup feature, as the Strategist, you define and manage workgroups of collectors and view statistics that measure the workload for a workgroup. A workgroup can have one or more collectors. You can add a collector to more than one workgroup, and can define as many workgroups as you require.

You use the Workgroup Setup feature to define workgroups of collectors with the skills to handle a particular type of invoices. You can define workgroups to be as specific as your workflow requires. For example, you could define a workgroup of collectors who handle invoices for all high-risk customers, or a workgroup that deals with invoices from high-risk customers in a specific sales region.

You define workgroups after having defined a set of collectors, and before defining the ruleset for workgroup assignment.

eCredit assigns invoices to workgroups based on the assignment ruleset you define for workgroups using the Rulesets feature. If a workgroup has multiple collectors, eCredit randomly assigns invoices to collectors in the workgroup.

When needed, collectors or other users who are assigned the capability can manually reassign customers or invoices to other collectors.

When collectors are on leave, you can inactivate the user so that work is not assigned to them. When the collector returns, you can activate them so that eCredit again assigns them action items for invoices.

Marking workgroups for deletion

To ensure that you do not delete a workgroup while it is being used, you mark workgroups for deletion rather than directly deleting them. Workgroups that are marked for deletion have a recycle icon in the Status column.

When you mark a workgroup for deletion, it is not deleted until the following occur:

  • No open invoices are assigned to the workgroup

  • The workgroup is not referenced in any ruleset

When both these conditions occur, the workgroup is deleted.

After marking a workgroup for deletion, 'Marked for Deletion' appears after the workgroup name in selection lists. This alerts the strategist of the workgroup status. During the period when a workgroup is marked for deletion, but not yet deleted, you can undelete the workgroup. Undeleting means that the workgroup is no longer marked for deletion.
