Modifying Dispute Notes and Attachments

Procedure

To modify dispute comments and attachments:

  1. Locate the dispute. How?

  1. On the Dispute Details screen, in the Comments section, click View/Edit in the row for the comments you want to modify.
    The Edit Dispute Comment screen appears. The Author and Category fields are read-only.

  2. Enter a Subject line. As you type, a list of subjects that match your entry is shown. Click a suggested Subject line to use it as the subject.

Note: The subject line appears on the Dispute Details screen to identify and summarize the comment.

  1. In the Comments sections, enter your comments for the dispute. If your administrator has defined Auto Text for comments, click Auto Text and select the pre-defined text from the list. You can modify the pre-defined text if needed.

Note: If a file is already attached with the comments, the new file you attach overwrites the currently attached file.

  1.  To add a new or modified attachment with the comments:

    1. Click Browse.
      A dialog box to select the file to attach appears.

    2. Locate the file and click Open.
      The Edit Dispute Comment screen appears with the path for the file in the Attach File field.

    3. To attach the file, click Save
      The Edit Dispute Comment screen displays the currently attached file.

  2. To modify an existing attachment:

    1. Click View Attachment.
      The File Download dialog appears.

    2. Select Save to save the file to your hard drive.
      The Save As dialog box appears.

    3. Select a location for the file and click Save.
      The Download Complete dialog appears.

    4. Click Open.
      The file opens in its source application.

    5. Make changes to the attachment and click Save. Close the window for the attachment.

    6. On the Edit Dispute Comment screen, click the Browse button.
      The Choose File dialog appears.

    7. Locate the modified file and click Open.

  3. Click Save.
    If you added an attachment, the Edit Dispute Comment screen displays the currently attached file.

When you change dispute details or comments, the following occur:

    • If there is a notification ruleset defined for the 'on update' event, the resolver is assigned using this ruleset. Any contacts defined by the ruleset are notified of the dispute updates.

    • If there is no notification ruleset defined for updates, the invoice owner is assigned and notified.

    • If you were not the original author for the comments, the Author field refreshes to display your name.

  1. To return to the Dispute Details screen, click Cancel.
