How to Generate and Send Correspondence for Invoice Action Items

Procedure

To generate or send correspondence for print, e-mail, or fax action items for invoices:

  1. Access the collection activities. How?
    The Collection Activity screen appears.

  2. Locate action items for correspondence messages, and select the check boxes for these actions.

Note: The Action Item column identifies the action to be taken. You can select action items from multiple pages.

review or edit the correspondence before sending it

click Generate.

send the messages without review or edit

click Send

    •  A confirmation message that includes a link to see details for the invoices included in the message appears under the Search Results heading at the top of the screen.

    • The message is generate or sent and an invoice note is added for each invoice included in a message. The note gives the template name, date generated or sent, recipient's e-mail address, and the name of the user who generated or sent the message.

  1.  Click the link to see details for the invoices included in the messages.

    1. A pop-up window shows:

      • the messages that were sent.

      • the invoices that were included in each message.

      • any errors that occurred.

    • The messages appear in the Correspondence Queue for the customer. From the Correspondence Queue, you can review and edit the generated messages, and view the sent messages.
